Failed payments

Nobody trains for free, and nobody on staff has to chase.

A bounced payment used to mean a spreadsheet and an awkward text. Now the member gets a push and an email with a fix-it link, you are told the name and the amount, Stripe retries on its own schedule, and if every retry fails the member cannot book until it is sorted.

What it does

Failed payment handling, in four parts.

01

The member is told straight away

A push and an email, with a link that opens the app on the screen where they can update their card or bank account. Most fix it before you have seen it.

02

You are told who and how much

Name, plan, amount and the bank's reason for the bounce, in your alerts. No digging through Stripe.

03

Smart retries do the chasing

Stripe retries the payment on the days it is most likely to clear. Every attempt is logged on the member's profile with the bank's response.

04

Retries exhausted means no booking

The member is marked Payment stopped. They can still open the app, but they cannot book a class until the payment is fixed. The retention board lists them under Behind on dues.

How it works

Three steps, and none of them are yours to remember.

  1. 1

    A debit bounces

Insufficient funds, expired card, closed account. Stripe tells Gym OS within seconds.

  2. 2

Everyone who needs to know, knows

Member gets the fix-it link. Owner gets the alert. Coach sees it on the board.

  3. 3

It resolves itself or it blocks

Either the retry clears and the member never notices, or bookings stop until they fix it.

What changes for you
No more chasing texts

The link, the retry and the block do the work that used to be a staff job.

No more free training

A stopped payment stops bookings, without a coach having to be the bad guy.

A record for every attempt

If a member argues, the profile shows every try and the bank's reason for each one.

Questions

Things gym owners ask about this.

Does the member get charged a dishonour fee?

Not by Gym OS. Whatever Stripe or the bank charges on a failed debit is shown on the attempt log.

What if the member has a genuine reason?

You can see every attempt and reason on their profile, and you can take a cash payment or move them to a new payment method from there.
